Delegate tasks

You can delegate tasks to another role or to another user (issues only). Delegation is used, for example, if a different role/user has the proper expertise to edit the task, but the role responsible must be retained.

You can only assign one role to the task, but you can assign multiple users to issues. You can transfer audits, audit steps, regulatory change reviews, control executions, incidents, issues, losses, policy roll-outs, policy reviews, questionnaires, risk assessments, sign-offs, surveys, and control tests.

Prerequisite

Procedure. Procedure
  1. Click Home Home > My tasks. Your tasks are displayed. Initially, tasks with the Open status are displayed.

  2. Open the task you want to delegate to another role/user.

  3. Click the menu item that contains the Roles responsible attributes, for example, Information if you opened a control test or a policy roll-out.

  4. Click Delegate object Delegate task in the owner role row. The Delegate task dialog is displayed.

  5. Click Delegate object Delegate task in the row of the role/user you want to assign.

  6. Click Yes to confirm the dialog when you are prompted.

A new version of the task is created because the information is required for audits. The task is assigned to the selected role as the owner. The users responsible are notified automatically by e-mail.

The task is removed from My tasks of the previously assigned role/user and is now displayed in My tasks of the newly assigned user role/user. Your role/user is now the role responsible/user responsible. The previously assigned role/user (now: role responsible/user responsible) can still delegate or hand over the task but can no longer edit the task. The role to which the task was delegated can edit the task.
