Create surveys

Objects for Survey Management are generally modeled in ARIS and then imported to ARIS Risk and Compliance. Generally, however, it is possible to manually create objects for Survey Management in ARIS Risk and Compliance. For detailed information on modeling guidelines, refer to the Modeling Conventions.

Prerequisite

  • You have the Survey manager role.

  • Survey schedulers exist for which the start date of the survey period is reached.

Procedure. Procedure
  1. Create a questionnaire template. You can repeat this procedure to generate surveys on the same basis.

    Generate a working copy of the questionnaire template, if required. This can be useful, for example, if you want to generate comparable surveys over a certain period of time using the working copy of a questionnaire template and then evaluate and compare the surveys.

    1. Click Explorer Explorer.

    2. Click Survey Management > Questionnaire templates. The list is displayed.

    3. Click New Create.

    4. If you are logged in as a user with cross-environment authorization, a dialog is displayed with the available environments. Select the environment and click OK. The form is displayed.

    5. Enter a name and description for the questionnaire template.

    6. Click Save Save.

      The questionnaire template is created. You can now add sections to it.

  2. Create sections and subsections for the questionnaire template to divide the questionnaire into different areas.

    1. Click Explorer Explorer.

    2. Click Survey Management > Questionnaire templates. The list is displayed.

    3. Click the name of the relevant questionnaire template.

    4. Click New Create in the Section row. The Section template form is displayed.

    5. Enter a name and description for the new section.

    6. Click New Create in the Subsection row. The Section template form is displayed.

    7. Enter a name and description for the new subsection.

    8. Click Save Save.

      The new section is assigned to the questionnaire template and the subsection is created in the superior section. You can now assign existing questions, or create new questions for the section and subsection. Sections are always assigned to the questionnaire template they were originally generated for, that is, they cannot be used in other questionnaire templates, even if they are no longer used in the questionnaire template they are assigned to. You can, however, reuse a section you removed from a questionnaire template with Create assignment/Assign Assign.

  3. Create questions.

    1. Click Explorer Explorer.

    2. Click Survey Management > Questionnaire templates. The list is displayed.

    3. Click the name of the relevant questionnaire template. The form is displayed.

    4. Under Structure > Sections, click the relevant section name. The form is displayed.

    5. Click New Create in the Questions row. The form divided into Overview and Information is displayed.

    6. Enter the question text.

    7. Select the question type. If you selected the Single choice or Multiple choice question type, edit the mandatory fields (Mandatory field, Recommended field) Option set, Answers (option set) and Answer options. If you selected the Text, Numerical, Date or Date range question type, edit the mandatory field Evaluation by reviewer.

    8. Click Save Save.

      The question is created. If you select the Text, Numerical, Date or Date range question type and set Evaluation by reviewer to Yes, you can create answers or option sets. Several answer options or one option set can be assigned to a question. You cannot simultaneously assign answer options and an option set. The respective assignment must be removed before another one can be added. You can only assign answers/option sets, and hence also answer values, to the Text, Numerical, Date, and Date range question types if the Evaluation by reviewer attribute is set to Yes. These answers/option sets are then displayed to the survey reviewer for evaluation.

      Alternatively, you can use existing questions. To do this, click Create assignment/Assign Assign in the Questions row.

  4. Create answer options.

    1. In the Answer options row, click New Create. The Answer option form is displayed.

    2. Enter the answer and the answer value.

    3. Repeat this process for all answers you want to create.

    4. Click Save Save.

      The answers are created and available for answering the question.

      Alternatively, you can use existing answer options. To do this, click Create assignment/Assign Assign in the Answer options row.

  5. Alternatively, create option sets.

    1. In the Option set template row, click New Create. The Option set template form is displayed.

    2. Enter a name and description for the option set.

    3. In the Answer options row, click New Create. The Answer option form is displayed.

    4. Enter the answer and the answer value.

    5. Repeat this process for all answers you want to create.

      Click Save Save.

      The option set is created with the assigned answers and is available for answering the question.

      Alternatively, you can use existing option sets. To do this, click Create assignment/Assign Assign in the Option set row.

  6. Create a survey scheduler and assign a questionnaire template to it.

    1. Click Explorer Explorer.

    2. Click Survey Management > Survey schedulers. The list is displayed.

    3. Click New Create.

    4. If you are logged in as a user with cross-environment authorization, a dialog is displayed with the available environments. Select the environment and click OK. The form is displayed.

    5. Assign a questionnaire template.

    6. Assign an interviewee role.

    7. Assign a survey reviewer role.

    8. Click the relevant frequency to specify how often the survey is to be performed.

    9. In the Time limit for task processing row, enter the number of days within which the interviewees must answer the questions.

    10. In the Start date row, enter the date when the survey is to start.

    11. Optionally, you can enter the date the survey ends in the End date row. If you do not enter an end date, surveys can be generated for an unlimited time period.

    12. In the Length of control period row, enter the period on which the survey is to be based.

    13. Specify the number of days by which the control period precedes the survey period in the Offset to start date row.

    14. Assign the associated hierarchy element, as well as risks, controls, and control test definitions.

    15. Click Save Save.

The survey scheduler is created. You can use a survey scheduler to generate surveys or questionnaires.

Surveys are automatically generated at the points in time specified using automated server tasks.
