Publish policy roll-outs

The policy owner can decide whether a policy roll-out is approved or not irrespective of an approval from the policy approver. After the policy owner approved the policy roll-out, the policy roll-out can be published.

Prerequisite

You have the Policy owner role.

Procedure. Procedure

    Perform policy roll-out approval

    1. Open the list of policy roll-outs.

      1. Click Home Home > My tasks. Your tasks are displayed. Initially, tasks with the Open status are displayed.

      2. Filter the list with the Policy roll-out object type.

      3. Check the due date. To do so, sort the list in Sort ascending ascending or Sort descending descending order by clicking the column header.

    2. Check the entries of the policy approver.

      1. Click the name of the policy you want to check. The Policy roll-out form is displayed.

      2. Check the input and the status that the policy approver gave.

    3. Select the status.

      1. If the content of the policy roll-out is correct and you want to approve it, select the status Approved. Otherwise, select Not approved. In this case, also add a comment.

      2. Click Save Save.

    Your entries are saved. If you selected the status Approved and a start date for publishing was defined, which however, has not yet been reached, then the publishing status is set to Unspecified. The publishing status is set to To be published as soon as the start date for publishing is reached or no start date was specified.

    If you selected the status Not approved the policy roll-out is closed. Approvals whose evaluations were not yet completed by the policy approver (Approved/Not approved), are set to the status Not completed. The users responsible are notified automatically by e-mail.

    Publish policy roll-out

    Publish the policy roll-out when all tasks associated with the provision of the policy roll-out to the recipients are finished.

    1. Open the relevant policy roll-out in the list of policy roll-outs.

    2. Click the Published status.

    3. Click Save Save.

    A policy roll-out confirmation is generated for each policy addressee for policy roll-outs of the type Confirmation required. The users responsible are notified automatically by e-mail. The members of the policy addressee group check the content of the policy roll-out and select whether they accept the policy roll-out or not.

    For Publish only policy roll-outs, the members of the policy addressee group are notified automatically by e-mail. The policy must be available, for example, on the intranet or in ARIS. There is no control as to whether the user read the policy or not.
