Approve policy roll-outs

As soon as the policy roll-out has the status To be approved, an approval is generated for each policy approver of the assigned role. If the start date of the approval period was reached, the approvals are made available for editing. Policy approvers check the correctness of the policy roll-outs. However, the status of policy roll-out approval has no direct influence on the status of the policy roll-out. Only the policy owner can decide whether a policy roll-out is approved for publishing or not.

Prerequisite

You have the Policy approver role.

Procedure. Procedure
  1. Open the list of policy roll-out approvals.

    1. Click Home Home > My tasks. Your tasks are displayed. Initially, tasks with the Open status are displayed.

    2. Filter the list with the Policy roll-out approval object type.

    3. Check the due date. To do so, sort the list in Sort ascending ascending or Sort descending descending order by clicking the column header.

  2. Check the policy roll-out.

    1. Click the name of the policy roll-out approval you want to edit. The Policy roll-out approval form is displayed with information, such as descriptions, assigned hierarchy elements, further information.

    2. Check whether the content of the policy roll-out is correct.

    3. Assign documents with further information, if necessary.

  3. Save your entries and select the status.

    1. Click Save Save. Your entries are saved. The status is automatically set to In progress. If you want to continue later, keep this status.

    2. Use the status buttons Approved or Not approved to select another status. In the latter case, enter a reason in the Remark field that then becomes mandatory. Save your entries again.

    3. If you changed the status, save your entries again (Save).

Your entries are saved. The approval is closed for editing irrespective of which status you select. The users responsible are notified automatically by e-mail. Now the policy owner must approve the policy roll-out for publishing or not.

If the policy roll-outs are not edited within the predefined approval period, they receive the due status Overdue when checked. Policy roll-outs with this status can continue to be edited until they are closed by the policy owner.
