Create audit template and audit step templates

Create audit templates and audit step templates or use imported ones and generate audits.

Prerequisite

  • You have the Audit manager role.

  • The audit template must be active, that is, the preparation date must have been reached or be in the past.

  • The audit template must contain at least one active audit step.

  • The assigned audit owner role and audit reviewer role must be active and contain at least one active user.

  • All active audit steps must be assigned to one active audit step owner role that contains at least one active user.

  • No other active audit for this audit template exists with the same start date of preparation.

An audit is generated for all audit templates that meet these prerequisites. Inactive audit steps are ignored. To avoid changes being made while audits are being generated lock the corresponding templates at this time.

If another audit is to be generated based on this audit template, you must change the start date of preparation or the existing audit must be deactivated.

Procedure. Procedure
  1. Create an audit template.

    1. Click Explorer Explorer.

    2. Click Audit Management > Audit templates. The list is displayed.

    3. Click New Create.

    4. If you are logged in as a user with cross-environment authorization, a dialog is displayed with the available environments. Select the environment and click OK. The form divided into Overview and Workflow task is displayed.

    5. Edit the mandatory fields (Mandatory field, Recommended field) and the optional fields. For example, enter the name on Overview, then click Workflow task, and enter the start date of preparation, the audit period (plan), and the control period. Then, assign an audit owner role and audit reviewer role.

    6. Click Save Save.

    7. The audit template is created. Alternatively, you can duplicate existing audit templates.

  2. Create audit step templates.

    1. Click Overview.

    2. Click New Create in the Audit steps row. The form divided into Overview and Workflow task is displayed.

    3. Edit the mandatory fields (Mandatory field, Recommended field) and the optional fields. For example, enter the name, the planned audit step period, the planned processing time, and assign an audit step owner role. The audit step period must occur within the audit period.

    4. Click Save Save.

    5. The audit step template is created and assigned to the audit template. It can only be used for this audit template or changed there.

Audits are automatically generated at the points in time specified using automated server tasks.
